Pilgrim church welcomes several categories of users to rent church space in accordance with its facility use mission which is accomplished as follows:
- Managing our facility resources in a manner which provides a quality environment for our members and friends.
- Providing a place for those whose cause it is our goal to aid.
- Providing a center that draws the community to us and provides sufficient revenue to aid the financial goals of the church.
The demand for the church frequently exceeds its availability, so we have set out the following priorities for the use of our building.
- First priority goes to Pilgrim church activities. We also reserve the office spaces and conference room for exclusive use by the church.
- All other space within the facility, or on the grounds, will be made available for use by groups and organizations.
- Pilgrim will not permit groups or individuals to use the building for purposes deemed contrary to our church mission.
- All groups reserving space are subject to being moved to accommodate a church function such as a wedding or funeral.
What Spaces are Available for Rent?
Sanctuary–Seats approximately 200 theater style (movable chairs).
Emmet Room–Seats approximately 25 in theater style and can also accommodate casual groups with informal furniture seating.
Boyd Room–Seats approximately 150 theater style and can also be configured with round or long tables and chairs for classroom or conference space.
Classrooms–There are two classrooms, each seating approximately 15 people; ideal for small groups or breakout space.
Basement–Seats up to 50 people in theater style and can also accommodate round or long tables and chairs.
Narthex–Seats up to 50 people theater style and can also accommodate round or long tables with chairs.
Kitchen–Fully equipped with refrigerator, freezer, stove top, ovens, microwave and dish sanitizer with serving and preparation space. Note Pilgrim is not a licensed food service establishment. Users expecting to serve food at an event open to the public must contact the Gallatin City-County Health Department (582‑3120) to obtain a free, temporary food license.
What are the fees?
Renters of the church facilities are charged based on the room and length of the rental. For more information see base rates and multiple day rates.
Ticketed Events: Groups which sell tickets for an event will be charged ten percent of the gate or the public rate, whichever is less. For more information see public rates.
Educators: Groups providing an educational experience for children, particularly in the arts, will be charged on a sliding scale based on ability to pay.
What is the next step in the rental process?
Contact the church administrative assistant at 406‑587‑3960 to determine if there is space available for your event. Space may be reserved up to six months in advance or one year in advance for weddings. If space is available you will be asked to complete a facility use application and agreement and submit it along with the required deposit and/or fee in order to fully book your desired space. What Special Conditions may apply?
A full list of special conditions will be provided to you along with your facility use agreement, but in general you should be aware that a use deposit in addition to the rental fee will be charged for most spaces in the church. Checks will be returned to the sponsor upon inspection and return of the key. Damage, excessive wear or a poor cleaning job will result in a deduction from the deposit.
Phones and other equipment located in the church are not available to renters, except in an emergency. Groups must make their own arrangements for Information Technology equipment and any special furnishings. The parking lot is available for rental functions, but in some cases may be shared with other groups. Alcohol, tobacco and illegal drugs are not permitted in the facility.
The Responsible Party and/or User assumes all responsibility and liability for the requested use and agrees on behalf of the User group to indemnify and hold Pilgrim Congregational United Church of Christ, its officers and assigns, harmless from any and all loss, damage or injury resulting from the use of the facility.
